To record Main greetings
Press 1 from any phone to play greeting OR call in and when you hear the greeting

Enter ** and your password, then hit #

To Change answer mode – Press 1
To record the Holiday Greeting – Press 2
To record the Day Time Main Greeting – Press 3
To record the Night Time Main Greeting – Press 4

Follow the prompts to record the greetings


To change the Time or Date:
Press the PROGRAM Button
Press the HOLD Button
When it asks for your password enter:
Your password and then hit #

Press the 1 key
Press the 4 key
Press the 1 key to set time and date

Follow prompts from there


To Program a Button As An Extension Number Button
Press the button you want to program for about 2 seconds (it will start talking to you, let go of the button)
Enter the extension number
Press the same button you are programming again
Enter the letters for the name according to the dial pad (example for James you would hit 5 for J, then hit #, then hit 2 for A and then hit #, then hit 6 for M and then hit #, for E hit the 3 key two times because it is the second letter on the key and then hit #, for S you would hit the 7 key three times because it is the 3rd letter on that key, and then hit #. You will press # after each letter. To enter a space between words – hit the button immediately to the left of the ESI-DEX button.
When finished hit the # key


To Program a Button for a Cell Phone Number or Outside Number
Press the button you want to program for about 2 seconds (it will start talking to you, let go of the button)
Then enter 9 and the phone number including area code
Press the same button you are programming again
Enter the letters for the name according to the dial pad (example for James you would hit 5 for J, then hit #, then hit 2 for A and then hit #, then hit 6 for M and then hit #, for E hit the 3 key two times because it is the second letter on the key and then hit #, for S you would hit the 7 key three times because it is the 3rd letter on that key, and then hit #. You will press # after each letter. To enter a space between words – hit the button immediately to the left of the ESI-DEX button.
When finished hit the # key


To Program a Button As A Feature Key (example Caller ID or Day/Night )
Press the button you want to program for about 2 seconds (it will start talking to you, let go of the button)
Hit the ESI-DEX button twice
Use the Scroll Key which is immediately to the left of the ESI-DEX button – Scroll through until you see the option you want to program the button as, stop there.
Then Press the same button you are trying to program again
Then hit the # key


To Get A Deleted Message Back
(The system holds the last 10 messages)
Press the PROGRAM Button
Then hit the 9 key
Follow the prompts from there


To record directory names:
Press the PROGRAM Button
Press the HOLD Button
When it asks for your password enter:
Your password and then hit #

Press the 6 key
Press the 2 key

Enter the extension number, follow the prompts to record the name, press #, enter the first three letters of the name (enter the numbers associated with the letters of the name, for example for Bill you would enter 245 or for James you would enter 526)
Press the # key
Enter next extension


To change Music on Hold:
Press the PROGRAM Button
Press the HOLD Button
When it asks for your password enter:
Your password and then hit #

Press the 6 key
Press the 3 key
Press 1 to select source (see below)
Press 3 to select volume

Enter the MOH source, 591#, 592#, 593#, or 590# for an external source.


To record voice mail greetings:

From the phone you want to record a greeting for:

Press the PROGRAM Button

Press the 1 key then #

Select greeting Number 1 through 3

Follow prompts to record greeting


How do I hear the time and date when checking voice mail remotely?

To Hear the Time and Date of a Voice Mail When Checking Remotely

Call the main number, when the Auto Attendant Answers Press the * key.

Then enter your extension number.

It may or may not ask for your password, this is usually the same as the extension number unless you have changed it.

System will then tell you if you have any messages – follow the prompts.

At the end the message press 2 to hear the time and date the voice mail was left.


To Set Up Message Notification
Call the main number, when the Auto Attendant Answers Press the * key. (Or Press PROG button on your phone.)
Then enter your extension number.
It may or may not ask for your password, this is usually the same as the extension number unless you have changed it. System will then tell you if you have any messages – follow the prompts.
Press 5 to enter Mail Box programming.
To program external notification, Press 6
To program Delivery options, Press 1
To program Phone delivery, Press 2
To program Pager Notification, Press 3
To program Urgent Message Activation, Press 4
To program Your Twinning, Press 6


To record guest mail box greetings:
From any phone, to record for any mailbox:
Press the PROGRAM Button
Press the * key,
Enter the Mailbox number and hit the # key
When it asks for your password enter:
The Mail box number again and hit the # key
Follow prompts to record greetings


To Change the Ring Tones on A Phone
Press the PROGRAM Button

Then Hit the 4 key
Then Hit the 1 key

Follow the prompts from here – it will tell you to use the scroll key to listen to the tones – the scroll keys are at the top of the phone between the Program button and the ESI-DEX button.
Scroll through until you hear the tone you want then Press the # key.
Then you are finished


To Raise or Lower the Volume of the Ringing on A Phone
Press the PROGRAM Button

Then Hit the 4 key
Then Hit the 2 key

Use the scroll key to adjust the volume – the scroll keys are at the top of the phone between the Program button and the ESI-DEX button.
Scroll through until you have the volume you want then Press the # key.
Then you are finished


To program the names of extensions on the phones
Press the PROGRAM Button
Press the HOLD button
When it asks for your password enter:
Your password and then hit #
For extension programming press 3
To program extension feature authorization press 2
To program basic feature authorization press 1
Enter the station number (extension number) to program, and then hit #
Enter the letters for the name according to the dial pad (example for James you would hit 5 for J, then hit #, then hit 2 for A and then hit #, then hit 6 for M and then hit #, for E hit the 3 key two times because it is the second letter on the key and then hit #, for S you would hit the 7 key three times because it is the 3rd letter on that key, and then hit #. You will press # after each letter and after the entire name. It will take you to other features but you can just hang up at this time.


To Check Voice Mail Remotely When Auto Attendant Answers
Call the Main Phone Number
When the Auto Attendant Answers Press the * key
Then enter your extension number
It may or may not ask for your password, this is usually the same as the extension number unless you have changed it.
System will then tell you if you have any messages – follow the prompts to delete etc.


To Check Your Messages Remotely and The Receptionist Answers
Ask her to hit the Blue Voice Mail Button and hang up on you
While the main greeting is playing
Enter * and your extension number
It may or may not ask for your password, this is usually the same as the extension number unless you have changed it.
System will then tell you if you have any messages – follow the prompts to delete etc.


To Forward an Extension to Another Extension Number
Hit the Call Forward Button (CFWD) (Only the newer ESI phones already have an existing Call Forward Button – For older phones, see To Program a Button As A Feature Key (example Caller ID or Call Forward)
Enter the extension number
You are done.

To Cancel Call Forwarding That Is Forwarded to Another Extension
Hit the Call Forward Button (CFWD)
Hit the Release Button


To Forward an Extension to A Cell Phone Number or Outside Number
Hit the Call Forward Button (CFWD) (Only the newer ESI phones already have an existing Call Forward Button – For older phones, see To Program a Button As A Feature Key (example Caller ID or Call Forward)
Enter the 9 key first and then enter the cell phone number with area code first or outside phone number
Hit the # key

To Cancel Call Forwarding That Is Forwarded to A Cell Phone or Outside Number
Hit the Call Forward Button (CFWD)
Hit the *P/UP Key
You are done.


To Change A Ringing Extension When Dialing from Ext. to Ext. to Immediate Voice
Press the PROGRAM button
Then press the 3 key
Then press the 5 key
You will need to Enable Hands Free
To Change to ringing instead of immediate voice – Disable Hands Free


Adding Phone Numbers to the ESI-DEX:
Press PROGRAM Button
Press the HOLD Button
When it asks for your password enter:
Your password and then hit #
Then press 1 for System Functions
Then press 7 for System Speed Dial
Enter speed dial (Access Code) Select a number that is between 600 – 699 that has not already been used.
Then press #
Enter the letters for the name according to the dial pad (example for James you would hit 5 for J, then hit #, then hit 2 for A and then hit #, then hit 6 for M and then hit #, for E hit the 3 key two times because it is the second letter on the key and then hit #, for S you would hit the 7 key three times because it is the 3rd letter on that key, and then hit #.
Hit the # key after you have entered the whole name.
Enter the phone number with the 9 or whatever number you use to get an outside line first
Enter # after each phone number


Deleting Phone Numbers from the ESI-DEX:
Press PROGRAM Button
Press the HOLD Button
When it asks for your password enter:
Your password and then hit #
Then press 1 for System Functions
Then press 7 for System Speed Dial
Enter the speed dial (Access Code) Number that you want to delete. It will be a number between 600 and 699
Then press #
When you see the one you want to delete – press the HOLD button (this will delete the entry)


Using the PAGE ALL Feature
Press the #/Page Button
Then hit the 0 key
When you speak it will be heard on all phone intercoms in the office.
Hang up when done.


Putting a call on SYSTEM HOLD:
When caller is on the line press the HOLD button for 2 seconds.
That makes every phone’s HOLD button light up.
(Pushing HOLD Button on time quickly puts in hold on your phone only.)
On another phone press the HOLD button to see what line the call is on then enter that line number or press the button for that line.


Transferring Calls From a Cordless Phone:
Press FLASH Button
Enter EXTENSION
Then press the RELEASE button.


Transferring Calls From a Cordless Phone:
Press FLASH Button
Enter EXTENSION
Then press the RELEASE button.


Leaving a Voice Mail without ringing extension:
Press 1 # EXTENSION (or button next to name)
Press the RELEASE button.
